About T'Sas

T'Sas is a Belgian wholesaler in fruit, vegetables and fresh produce, supplying hospitality and retail across the country. Fresh is an unforgiving trade: orders come in at night, when customers finish their evening shift, have to be picked before morning and be on a van before the customer opens. There is no room in that window to retype anything.

The case

Orders reach T'Sas by email. Hyperfox reads them and posts them straight into 4BS PartijRegistratie, the ERP the business runs on. No middle step, no re-keying, no copy-paste between a mailbox and an order screen.

Why it was hard

This is not a tidy problem, which is exactly why it was worth solving:

  • Very long purchase orders. A single email can carry a full week's assortment, hundreds of lines deep.
  • Handwritten notes. Photographed order slips, scribbles in the margin, corrections that only make sense to someone who knows the customer.
  • Customer-specific handling. Every account has its own conventions, its own article names, its own rules about what may be substituted.
  • Units that do not match. A customer orders in kilos, the ERP expects pieces — or the other way round. Getting that conversion wrong is not a rounding error; it is a wrong delivery.

We had been trying to automate our order entry for a long time. Most of our orders come in at night, when our customers finish their evening shift. And every customer has their own way of ordering: one writes it on a napkin, the next sends an elaborate PO with their own article numbers. What it changed

63% of orders now go through without human intervention. For the remainder, the work is no longer entry but approval — a glance to confirm the agent read it right. That took roughly ten minutes per order before. It now takes one.

The gain is not only the minutes. It is that the order desk stops being the bottleneck on the one part of the day that cannot move: the hours between the last order coming in and the first van going out.
